Landlords: keep tenant communication and maintenance organised
Simple ways to document requests, respond to maintenance concerns and keep property owners informed.
A rental relationship becomes easier to manage when important conversations do not disappear into scattered calls and messages. A simple, consistent record helps landlords, tenants and property managers understand what happened and what needs attention.
Make it easy to report a problem Tell occupants which number or email to use for a maintenance issue and what information is useful: location of the problem, when it began, how urgent it appears and whether photos are available. An acknowledgement helps the tenant know the message reached the right person.
Keep one record for each issue Note the reported problem, date, property, person responsible for follow-up, quotations, approval and completion. This does not have to be a complicated system. A clear record makes it easier to see which matters remain open and what was agreed.
Set expectations about next steps Explain whether a visit, quotation or owner approval is needed. If circumstances change, update the people affected. Avoid promising a completion date that a contractor or supplier has not confirmed.
Separate routine updates from urgent matters Some issues can wait for a regular owner report, while others require immediate contact. Agree on an escalation route in advance. Consistent reporting gives the owner visibility without forcing every decision into a long message thread.
Review repeated concerns If the same type of problem returns, examine the underlying cause rather than recording each report in isolation. A history of issues can support better maintenance decisions and more realistic planning.
